We want your experience with Karma Retreats to feel safe, supportive, and transparent from the moment you visit our website through to your retreat and beyond.

Below you’ll find all the essential information about our terms of service, cancellation and refund policies, privacy practices, and how we protect your data. If you have any questions at all, we're just a message away — we’re always happy to help.

Terms & Conditions

1. Booking & Payment. ​

  • Bookings are secured by either; full payment via the website at time of booking OR the first instalment of an agreed plan being received by us within 3 working days of remittance being issued.

  • Some retreats may require a non-refundable deposit at the time of booking to secure your place.  This will be clearly noted during the booking process.

  • Full payment is due 8 weeks before the retreat start date unless agreed otherwise.

  • Payment plans are available — simply select "Manual Payment" at checkout and we will know to be in touch with options. 

  • Instalments made via Paylinks will be subject to an additional transaction charge

2. Cancellations & Refunds

  • Cancellations made more than 8 weeks before the retreat start date will receive a refund of any payment made, minus the deposit (if that was required at time of booking) and transaction fees. 

  • Cancellations made less than 8 weeks before the retreat start date are non-refundable.

  • If Karma Retreats needs to cancel for any reason (including force majeure), a refund or transfer to a future date will be offered. Please see the dedicated Cancellation Policy for full details. 

3. Travel & Insurance

  • Flights and travel arrangements are your responsibility, unless agreed otherwise prior to booking. We recommend booking flexible travel.

  • Guests are required to obtain travel insurance that includes retreat cancellations and medical coverage.

4. Participant Responsibility

  • Guests agree to take responsibility for their own physical, mental, and emotional wellbeing.

  • Please inform us in advance of any injuries, conditions, or limitations. We will send you a health form to complete closer to the retreat date. 

  • All physical/exercise workshops and classes are undertaken at your own risk. All guests will be asked to fill out a health & medical questionnaire, and sign a liability waiver, before attending any retreat/s to confirm they are sufficiently fit, and healthy enough to take part in the classes and other physical activities.  If you have any health conditions you will need to inform Karma Retreats of these. We may ask you to provide a consent form from your doctor to confirm your suitability to attend.

  • If we have concerns as to your suitability to safely participate and engage with any aspect of the Services or the Retreat, we will arrange to speak with you to discuss the matter and to determine whether you will continue with the Retreat or be asked to leave. Karma Retreats reserves the right to ask any participant to leave the retreat if their behaviour negatively impacts others or the company.In such cases our agreement will be terminated and refunds will not be issued.

  • Any circumstances escalating to the level of legal dispute will be settle under English Law. 

5. Reservation of Rights

  • If, before your arrival or during your stay, your choice of room becomes unavailable or unusable for any reason, we reserve the right to offer you an alternative room of the same class or quality. We reserve this right in the case of availability clashes, unexpected, unforeseen, or uncontrollable situations. Should Karma Retreats successfully be able to offer you a similar room, a credit for any difference will be given if the room offered is a lower cost for the same period. If Karma Retreats is not able to offer accommodations then a credit of the full monies paid will be given for a future retreat, or in the case that some time has been used already at the room before it becomes unavailable then a pro-rata credit will be given. This constitutes the maximum liability of Karma Retreats. 

  • FORCE MAJEUR: Karma Retreats reserves the right to amend the booking dates and venue. This may be due to several reasons, not limited to but including, adverse weather conditions, natural disasters, riots, war, and/or matters concerning participants safety, operational circumstances - such as damage caused by fire, or the retreat venue becoming unusable due to utility company work or lack of services, leaks, repair work - or any other such reason. In these circumstances the booking may need to be adjusted accordingly. 

  • Admission is by the sole discretion of Karma Retreats and we reserve the right to refuse service/deny admission on any grounds if we reasonably believe it is in the best interest of the group and/or ensuring the safety and comfort of individual participants. In this case all monies paid, if any, will be refunded.

6. Liability

  • Weather conditions can be unpredictable, and can change quickly and significantly. Karma Retreats cannot be made liable for unpleasant or unsuitable weather conditions and no refunds are made for such conditions.

  • We are responsible for providing the services listed on our website, where it is within our control. Karma Retreats cannot guarantee that all items listed on our website will be functional at all times, however all endeavours will be made to rectify any problems as soon as we possibly can. We reserve the right without prior notice to withdraw any part or all of the facilities available, and to make such changes as may be necessary. Furthermore, it is agreed by you that the owners/operators of the retreat/s of Karma Retreats are not the guardians of any customers safety and they, individually or collectively, cannot be held liable in any way for any occurrence, which might result in illness, injury, death, or other damage, loss or theft to the customer, his property, or his family, heirs, or assigns. The liability of Karma Retreats is limited to a total of the booking price irrespective of the title/claim.

  • Karma Retreats and all persons involved in our retreats (herein after referred to as “AGENTS”) act only in capacity as AGENTS for the participant in all matters connected with classes, travel, sight-seeing journeys and transportation, and as AGENTS hold themselves free of responsibility for any damage occasioned by any cause. AGENTS will not be responsible for any damages or expenses or inconveniences caused by late departures or change of schedule, strikes or to their conditions, nor will be responsible for loss or damage to baggage or any of the participant’s belongings.

  • Participants assume the risk involved when participating in yoga, foreign travel, and any and all activities and/or pursuits voluntarily undertaken while participating in the retreat. 

  • Participants agree that any and all disputes between Participants and Karma Retreats shall be governed by English law. Participants agree to mediate any and all disputes prior to the institution of any litigation. In the event of any litigation between the Parties to this agreement involving their respective rights or obligations, such litigation shall take place in the U.K. and the prevailing party shall be entitled to recovery of reasonable legal fees and court costs of litigation.

  • In regard to the stay during the retreat, AGENTS will provide safe, careful instruction, and safe premises, but ask that each participant take personal responsibility for their own self-care and (in the unlikely case) for any injuries incurred during retreat. Modifications are given to students with specific needs. If participants are unsure of their physical ability due to previous injuries, they should seek the advice of a healthcare practitioner beforehand.

  • It is the responsibility of Participants to seek out and become aware of the policies of Karma Retreats. All Terms & Conditions are given during the check-out process through the Karma Retreats website and participants agreement is required to complete the booking. 

Cancellation Policy

Cancellation Policy

We understand that plans change — and we aim to be as compassionate and flexible as possible.

Guest Cancellations:

  • More than 8 weeks prior: full refund

  • Within 8 weeks prior: 50% refund

  • Within 4 weeks prior: No refund

  • No-shows or early departures are non-refundable

  • Any refunds issued will be subject to basic transaction charges. E.g. In the case of a full refund, this will be made less the original booking transaction fee which is otherwise absorbed by Karma Retreats.

Karma Retreats Cancellations:

  • In the unlikely event that we must cancel, you will receive as full a refund as possible, less transaction fees or the option to transfer to a future retreat. Any expenses already incurred by cancelled retreat will be transferred to a future retreat. It may not always be possible to provide a full refund but we will endeavour to do our absolute best. Our guests satisfaction are our priority.

  • We are not responsible for any additional expenses (e.g., flights, transfers, insurance)

  • The reservations cannot be cancelled or modified without penalty. The Company reserves the right to cancel or amend a booking, if it is proven that the customer used an invalid credit card, a card the use of which is not authorised, or a card that was used fraudulently, or if it is proven that the booking contains or is the result of an error or omission. In addition, the Company reserves its right to cancel or amend a booking if such booking does not conform with the related terms, conditions,  and agreements.

Flexible Travel:

If you need to arrive early or depart late due to flight options, we are happy to help arrange extra nights with our venue at your cost — just let us know during your booking process or advise us as soon as you know. 

Privacy Policy

Privacy Policy

Your privacy matters to us. We only collect the information we need to process bookings and provide you with a warm and personalised retreat experience.

What We Collect:

  • Name, date of birth, email address, phone number

  • Medical or dietary needs (when you provide them)

  • Payment info (via secure third-party payment platforms)

  • Details of Rock Choir Membership where applicable

How we use it:

  • To manage your retreat booking

  • To personalise your experience

  • To contact you with essential updates or information

What We Don’t Do:

  • We never share or sell your data to third parties

  • We do not store any sensitive payment information directly

Your Rights:

  • You may request to view, update, or delete your data at any time

  • You may unsubscribe from our communications at any time
